As a key member of the Office of Global Ethics & Integrity, the Analyst/Paralegal will have responsibility for managing, resolving, improving, and scaling the company’s gifts, entertainment, and charitable donations policies and processes, under the direction of team management, ensuring compliance with the company’s policies, standards, and processes, while maintaining a keen awareness of ethics & integrity risks and escalating as needed. The new hire will play an active role in the organization, processes, systems, and resources to support the growth of the Office of Global Ethics & Integrity. The candidate will work as part of a truly global team with interaction with multi-functional professionals in Europe, Asia, Latin America, and the United States. This position reports to Director, Senior Corporate Counsel.
Core Responsibilities:
Manage requests for Gifts, Entertainment, and Charitable Donations approvals on a daily basis according to company policies and applicable laws, ensuring timely review and analysis, thorough record keeping, coordination with internal control functions, and relevant advice/guidance.
Classify requests according to risk, ranging from conflicts of interest, prohibited forms of gifts or entertainment (e.g. cash, cash-equivalents), identity of the recipients (e.g. governments or government-owned entities), value of the gifts or entertainment (e.g. bona fide business expenditures, lavish gifts or entertainment), and/or risks for bribery and corruption.
Monitor and review company systems for red-flags according to risks and follow-up on gifts, entertainment, or donations expenses that appear non-compliant with company requirements, including escalations of concerns of possible employee misconduct.
Timely escalate high-risk requests for a second review by counsel, including any evidence of non-compliance with company policies warranting an internal investigation.
Remain updated in connection with regulatory developments, and company policies, and processes.
Review opportunities for process improvements to meet business growth and demand, including driving projects from cradle-to-grave (i.e. design, implementation, deployment, performance monitoring, maintenance, and improvements).
Working alongside Business Technology and Philanthropy & Engagement teams to guide business units through the appropriate processes and systems maintained by the company. , fixed, and improved based on experience.
Monitor the performance of company systems and processes and make recommendations for improvements or fixes, as needed.
Build and maintain strong partnerships with internal stakeholders such as business technology, finance (expense management) marketing, sales, procurement, philanthropy & engagement, and legal to drive policy, scale, and process improvements.
Design and deliver training to business units in connection with the company’s policies and processes related to gifts, entertainment, and charitable donations.
Ensure continued compliance with internal policies and requirements under the company’s Code of Conduct, Global Gifts & Entertainment, and Company Donations Policies.
Drive and manage periodic policy updates in response to changing regulatory landscape and observed enterprise risks.
Promote company culture and Office of Global Ethics & Integrity colleagues worldwide.
Influence the Sales, Marketing, and Procurement organizations, participating in the strategic plan build-up regarding third-party vendors/gift and entertainment providers.
Support Office of Global Ethics & Integrity colleagues in various projects as directed.
Required Skills/Experience:
Experience in compliance program management, preferably anti-bribery & corruption, conflicts of interest, and/or gifts, entertainment, and charitable donations;
3+ years experience in listed international companies, law firms, and/or Big 4 audit firms;
Ability to work in a digitalized way, leveraging collaborative tools;
Experience working with cross-functional and multi-national teams;
Excellent verbal and written communication skills;
Proactive and confident in identifying risks, problems and solutions; healthy skepticism, curiosity, tenacity and attention to detail valuable attributes;
Ability to manage change positively – flexible and comfortable with multiple daily responsibilities, priorities and with managing change where required;
Fluent in English essential, additional languages are a plus.
