Title: Grant / Senior Accountant
Reports to: Associate Director, Finance
Location: Boston, MA (US-based remote OK)
Classification: Full time, salaried (exempt), Grade 4
The Grant/Senior Accountant is an integral figure in our finance department, primarily focused on overseeing and managing the intricacies of grant accounting from initial receipt to final reporting. This role ensures meticulous bookkeeping and compliance for all grant-related transactions. Additionally, the individual is expected to be adept in general accounting with an emphasis on monthly closings and account reconciliations. Through a combination of specialized knowledge in grant accounting and a solid foundation in general accounting practices, the Grant/Senior Accountant upholds the financial accuracy and integrity of our organization.
The Grant/Senior Accountant reports to the Associate Director of Finance, and works closely with the Staff Accountant, CFAO, Finance & Operations Officer and relevant Programs and Development staff.
Grant Accounting and Financial Reporting
- Tracking and managing grants received by the organization.
- Ensuring proper allocation and reporting of grant funds in accordance with grant agreements.
- Work closely with the financial team to ensure completion and accuracy of all grant and contract accounting.
- Assisting in reconciling budget to actual expense activity for all grants and contracts. Prepare financial reports and invoices for all grants to ensure timely and accurate submission to government funders.
- Preparing financial reports for grantors including government agencies, detailing how the funds were utilized and ensuring compliance with grant requirements.
- Preparing internal financial grant reporting for management, operating department (including quarterly UNHCR reports) and development department (per request)
- Staying updated with changes in accounting regulations and implementing necessary adjustments.
- Performing month-end and year-end closing procedures to finalize financial statements.
- Reconciling balance sheet and income statement accounts to ensure accurate financial reporting.
- Performing online bank reconciliations.
- Compiling and organizing financial documents and records for the annual agency and project audits.
- Assisting auditors during the audit process and providing requested information.
- Ensuring adherence to accounting standards and regulatory requirements.
- Participating in quarterly UNHCR project audits, including the collection of supporting documents.
- Implementing audit recommendations to improve financial controls and reporting.
- Creating financial forecasts to help guide organizational planning and budgeting.
- Cross-training to backup Accounts Payable, Accounts Receivable and Payroll preparation functions
- Providing financial training and guidance to staff members to improve financial literacy within the organization.
Desired Skills and Qualifications
- Bachelor’s Degree in Accounting strongly preferred
- 3-5 years experience working in a similar role
- Non-profit accounting experience required
- Monthly, quarterly, and annual closing experience required
- Experience accounting for US government grants is a plus
- Experience supporting annual audits is essential
- Knowledge and experience with Quickbooks Online or similar software essential
- Ability to remain highly organized with a strong attention to detail
- Analytical, detail-oriented, possessing sound judgment
- Strong communication skills, as well as highest integrity and diplomatic interpersonal skills
