The Role

We are seeking a motivated and detail-oriented Production & Project Coordinator to help manage nonprofit direct mail, digital, and other fundraising-related projects. The key to this position is exceptional time management and communication skills. You will not be expected to complete every specialized task (such as grant writing, data processing, or digital setup), but you must understand each component well enough to coordinate effectively and ensure projects run smoothly, on time, and as planned.

The ideal candidate is a self-starter who thrives in a fast-paced environment, works ahead of schedules, rigorously follows approval processes, proactively identifies next steps, and communicates clearly with all stakeholders.

Key Responsibilities

  • Maintain and update detailed production schedules for all campaign components (direct mail, digital, and miscellaneous projects).

  • Track multiple projects and timelines simultaneously, reporting progress daily to the production team.

  • Record notes from meetings, prepare agendas, and provide follow-up summaries to stakeholders.

  • Communicate directly with all parties to keep projects on schedule and moving forward.

  • Identify and communicate immediately when deadlines are at risk or missed, and adapt schedules proactively.

  • Work ahead of deadlines by anticipating next steps to prevent delays.

  • Request, evaluate, and organize quotes from multiple vendors, ensuring uniformity, comparability, and organization across simultaneous projects.

  • Coordinate with digital teams/agencies to ensure emails, ads, and other digital components are scheduled, launched, and tracked on time.

  • Manage timelines for miscellaneous projects such as grant writing, data appending, and other client or internal initiatives.

  • Assist with quality checks and campaign reporting across both direct mail and digital channels.

  • Accurately and rigorously follow approval processes from start to finish, ensuring every step is documented and signed off before moving forward.

Must-Have Qualifications

  • Ability to work onsite in Butler, NJ Monday–Friday, 9am–5pm (no remote option).

  • 2+ years of relevant experience in marketing, production, project coordination, or nonprofit campaign support.

  • Exceptional time management and communication skills, with the ability to keep multiple projects and stakeholders aligned.

  • Excellent written and verbal communication skills.

  • Strong Microsoft Office proficiency, with advanced MS Word and Excel skills.

  • Experience with file sharing and collaboration tools such as OneDrive, Teams, SharePoint, ShareFile, Dropbox, and Box.com.

  • Comfortable requesting, evaluating, and organizing multiple vendor quotes at once.

  • Highly organized, detail-oriented, and able to thrive in a fast-paced environment.

  • Self-starter who can anticipate needs, identify next steps, and work independently without constant direction.

  • Proven ability to follow structured approval processes meticulously from project start to completion.

  • Reliable, professional, and eager to learn.
