Airport Public Relations Assistant

Department – Marketing

Full Time

Hourly Rate: $ $19.49 – $ $29.24

Role Summary: Provides administrative support to the Marketing/Public Relations and Air Service Development sections of Milwaukee Mitchell International Airport. Coordinates & assists with many aspects of the Airport’s public information, marketing & public relations programs. Provides public information and resolves passenger complaints; processes invoices/credit card receipts; managing contracts & vendor spreadsheets; manages the customer service and years of service awards; orders airport promotional items; and facilitates the Airport’s Traveler’s Aid function, ACE program, and special events. The position keeps the department on track and on schedule.

Role Responsibilities:

* Purchasing/Contracts/Reports/Supplies – Use Milwaukee County’s Infor system to assist in the opening and management of purchase orders/requisitions and professional service contracts for the Marketing/PR and Air Service Development sections of the Airport. Prepare, track, and reconcile purchasing, vendor invoices, and credit card receipts. Order and maintain office supplies as necessary.

* Travelers Aid/Passenger Information – Provide administrative support and special training to a staff of 40+ volunteers across three shifts at the Airport Information desk during all flight hours, ensuring professional passenger assistance and issue resolution. Orders uniforms apparel/supplies, keeps staff apprised of current airline/airport information, attends bi-annual TA board/committee meetings as required, and assists with basic computer problems.

* Customer Service/Correspondence – Use outstanding interpersonal skills to independently respond to requests from the public for airport and travel information using both written and verbal communication to answer questions and resolve complaints. Draft and prepare correspondence for department managers. Track passenger feedback and make recommendations regarding customer experience to the Marketing/PR team. Assists in the distribution of Airport news releases.

* Community Relations/Special Event Coordination – Provides administrative support for events to celebrate milestone achievements, including new air service/airport amenities, news conferences, and partnerships with other departments and outside organizations. Support includes scheduling, setup, supplies, volunteers, attendee lists, invitations, etc. Provides key facilitation for the ACE summer student employment program, Tap the Potential art show, job fairs and other community events.

* Employee Recognition – Manages the MKE Customer Service Award program and the MKE Employee Years of Service employee recognition programs. Serves on the MKE Employee Recognition Committee.

* Administrative Support and Office Management – Develop and update office procedures and program processes. Place and track maintenance and IT work orders for the Marketing/PR and Air Service Development sections as well as for Travelers Aid. Answer phones, direct calls, and take messages. Maintain and schedule team appointments/meetings. Organize and maintain physical and electronic files.

* Airport Promotional Items – Purchase and maintain inventory of promotional items for special events, tours, and speaking engagements. Mail/ship promo items as directed. Facilitate the purchasing of employee logo wear.

Minimum Qualifications:

* Current resident of Wisconsin

* Valid WI Driver’s License preferred.

* High School Diploma or above

* At least One (1) year or more experience in Marketing, communication, public relations

* Ability to lift/carry 20 lbs.

* Ability push/pull 30 lbs.

Technology, Systems and Software Knowledge required to perform the job –

* Knowledge of all related computer and software applications, including Microsoft Office suite

Additional experience:

* Position requires an individual with strong organizational, writing, and speaking skills to help the Airport provide the best possible experience to passengers. Individual should have an exceptional level of professionalism and tact while performing multiple tasks simultaneously in a deadline-driven environment.
