About the Position
The Director of Administration provides strategic and operational leadership across CBED’s administrative, human resources, IT, and compliance infrastructure. Reporting directly to the Chief Financial & Administrative Officer (CFAO), this position ensures that the organization’s core systems—people, processes, and platforms—operate cohesively, efficiently, and in alignment with CBED’s mission, values, and growth strategy.
This position plays a key role in building and sustaining the operational systems that enable CBED to deliver on its mission with efficiency, accountability, and equity.
The Director is accountable for leading the daily execution of HR, IT, and administrative operations, maintaining compliance across all employment categories (full-time, part-time, and seasonal), and ensuring that organizational systems and policies are implemented effectively. This role is central to maintaining CBED’s culture of accountability, operational excellence, and continuous improvement.
The Director supervises the Administrative & Systems Coordinators and oversees HR and IT vendor relationships, ensuring strong performance, compliance, and service delivery.
Core Responsibilities
1. Administrative Leadership & Operational Oversight
- Lead the day-to-day operations of the Administration, HR, IT, and Compliance functions under the direction of the CFAO.
- Supervise the Administrative & Systems Coordinators and provide ongoing coaching and performance management.
- Translate organizational policies into actionable processes that ensure consistency, efficiency, and equity across all administrative functions.
- Develop and maintain standard operating procedures for onboarding, procurement, technology, and compliance workflows.
- Establish and monitor measurable service-level standards for internal support (onboarding, systems access, and HR transactions) to ensure responsive, high-quality service to all staff.
- Oversee all aspects of organizational travel and meeting coordination—including staff travel, retreats, board meetings, and convenings—by designing and implementing systems and tools (e.g., travel management platforms, automated workflows, templates, and expense approval protocols) that ensure consistency, cost efficiency, and compliance with CBED policies.
2. HR Operations & Compliance
- Oversee all HR operational processes, including onboarding, offboarding, payroll coordination, benefits administration, and personnel documentation.
- Maintain full compliance with federal, state, and local labor laws, as well as district-specific requirements for part-time and seasonal employees.
- Maintain accurate, confidential, and audit-ready personnel files for all staff, fellows, and temporary workers.
- Oversee the collection and verification of background checks, clearances, and other district-mandated requirements.
- Direct HR recordkeeping and compliance systems to ensure timely and accurate documentation for reporting and audits.
3. HR Strategy & Talent Planning
- Implement HR strategies and initiatives under the leadership of the CFAO, ensuring alignment with CBED’s equity and culture goals.
- Manage HR consultant performance, deliverables, and compliance support, ensuring alignment with internal policies.
- Oversee workforce planning, recruitment, and retention strategies in collaboration with department leaders and HR consultants.
- Lead annual HR compliance reviews and support the development of compensation and benefits benchmarks.
- Develop and maintain tools and dashboards to track key HR metrics and workforce demographics.
4. IT & Systems Integration
- Oversee IT systems, vendor performance, and data security, ensuring reliable and secure access to CBED’s digital infrastructure.
- Direct all aspects of staff technology onboarding/offboarding, including device management and account provisioning.
- Maintain a comprehensive technology inventory and oversee system renewals and upgrades.
- Coordinate integration between finance, HR, and operational platforms to improve data integrity and workflow automation.
- Collaborate with the CFAO to implement CBED’s data governance framework and ensure alignment with audit and compliance standards.
5. Legal, Contracts & Procurement
- Manage CBED’s contract review and approval process, ensuring compliance with internal policies and insurance requirements.
- Maintain an organized repository of contracts, MOUs, NDAs, and renewals, tracking expiration and renewal timelines.
- Oversee procurement and purchasing protocols, ensuring transparency, fairness, and cost-effectiveness.
- Support the CFAO in ensuring all vendor documentation (W-9s, certificates of insurance, etc.) is up to date and compliant.
- Provide administrative support during audits, risk assessments, or legal reviews.
6. Change Leadership & Continuous Improvement
- Lead the implementation of new administrative systems, tools, and policies that enhance efficiency and cross-department collaboration.
- Facilitate staff training and communication to support smooth adoption of new processes and technology.
- Continuously identify and lead cross-department initiatives that strengthen efficiency, automation, and collaboration.
- Champion a culture of accountability, operational excellence, and service across all administrative functions.
- Partner with the CFAO to ensure administrative operations align with long-term strategic priorities and support organizational scalability.
Qualifications
- Bachelor’s degree in business administration, human resources, or a related field (advanced degree preferred).
- 5+ years of progressive operations or HR management experience in a nonprofit, education, or mission-driven organization.
- Demonstrated success leading administrative, HR, and IT functions in a hybrid or multi-site organization.
- Strong knowledge of employment law, HR compliance, and data management best practices.
- Proficiency with HRIS, Microsoft 365, Google Workspace, and project management platforms.
- Excellent leadership, communication, and problem-solving skills.

Compensation & Benefits
- Salary Range: $110,000 – $130,000
