Overview
The Business Specialist performs a variety of operational functions to manage the day-to-day business of SERI in a small business environment, supporting multiple aspects of office management across financial, human resources, and administrative functions. This role requires a highly organized, independent, and efficient professional with experience or foundational knowledge in accounting, human resources, document control, and customer service, and a high level of professionalism and discretion.

  • Contributing to the overall success of the company by supporting HR and Business Admin functions.
  • Streamlining internal processes to enhance efficiency and productivity. 

Responsibilities
The following outlines the primary areas of responsibility. Additional responsibilities or functions may be required as necessary to support the organization. 

  • Provide important financial support: (~50% of time)
    • Bookkeeping utilizing QuickBooks Online
    • Facilitate Accounts Payable and Accounts Receivable, utilizing QuickBooks Online, Bill.com, Salesforce, Stripe, and other payment tools
    • Process expense reports
    • Manage the preparation financial reports and budget tracking
  • Support the human capital who make SERI’s mission efforts possible: (~30% of time)
    • Ensure accurate multistate payroll, payroll taxes, and workers compensation, in partnership with external payroll vendor
    • Maintain SERI’s employee handbook and process guidance to SERI contractors
    • Assist with employee benefits
    • Assist with employee onboarding
  • Business Administration support: (~15% of time)
    • Assist with annual audits, monitor administrative email accounts and virtual mail
    • Maintain accurate records
    • Organization-wide document control, ensuring key process documents stay up-to-date
  • Other duties as assigned
    • Assist with event planning

Qualifications
The ideal candidate will have 5-7 years’ experience in an administrative position or a college degree with education relevant to the specific job responsibilities. This position requires work communications through phone, email, texting, instant message, etc. An independent person with work discipline who is eager to learn and grow is needed to be successful in this organization. The candidate will possess many, if not all, of the following specific skills/attributes:

Required skills and qualifications

  • Associate’s degree or equivalent
  • Previous success with QuickBooks Online
  • Previous success in office administration- must have accounting and business management skills
  • Highly organized person – must have past administrative experience
  • Effective written and verbal communication skills. Full fluency in English. Other languages a plus
    • Ability to effectively and professionally communicate with internal and external parties through phone, email, instant message, etc.
  • Strong time-management skills and multitasking ability
  • Ability to understand process flows and impacts of changes
  • Comfortable handling private and confidential information
  • Strong skills and knowledge in using technology
  • Highly proficient in Microsoft Office, including Outlook, Word, Excel and PowerPoint
  • Effectively applies critical thinking to understand and solve problems, makes well thought-out decisions to quickly and positively create results

Preferred skills and qualifications

  • Experience and skills in SalesForce
  • Aptitude for learning new software and systems
  • HR Generalist skills

Physical Requirements

  • Ability to sit or remain stationary for extended periods of sedentary work.
  • Ability to operate computer systems and perform detailed computer-based tasks for extended periods.
  • Ability to frequently hear and communicate effectively and interact via phone, video conferencing, and in-person meetings.
  • Dedicated space to work full-time in a virtual environment.
  • Sufficient Internet access for a full-time virtual work environment.

SERI Work Environment
SERI is a small non-profit organization with a lean footprint and a global workforce. SERI does not maintain a corporate office, so all employees work remotely. All employees are independent workers that are self-motivated, responsible for their work, and not needing daily tasking and oversight. Compensation
An attractive compensation package will be provided to the successful candidate commensurate with education and/or experience. SERI provides a 403b with matching contributions for retirement, a Health Reimbursement Account, Life insurance, and Disability insurance. A liberal paid time off policy for holidays, vacation, sick days, and personal days as well as a flexible work schedule and location.
